Grants Administration

Conference Management

We manage every detail of the conference, starting with selecting conference dates and potential sites and developing a comprehensive event budget. We’ll assist in locating and selecting a keynote speaker and soliciting abstracts from other speakers, seminar leaders, and panel members—all with the goal of providing attendees with engaging, relevant, and substantive content.

• Site Selection, Travel Arrangements, and Accommodation Requirements. We research and identify the most advantageous rates in size-appropriate hotels or conference centers. To do this, we negotiate with vendors for airfare and lodging, facility arrangements, and audiovisual and other equipment. We handle business and travel arrangements for speakers and monitor room blocks on an ongoing basis.

• Audiovisual and Communication Requirements. We make it our job to anticipate the technical needs of speakers and attendees so there are no surprises during the event. Clients can expect to find laptop-ready projectors, podiums, microphones, A/V mixing boards, A/V technicians, stages, and phone and data lines.

• Technology, Exhibits, Social and Networking Events, and Other Activities. Count on us to plan, manage, and execute the entire event. We design, produce, set up and break down displays, banners, signs, and other materials displayed during event.

• Conference Registration (Online and Onsite). We’ll create and manage a conference website, both for online registration and to provide event information. We handle all aspects of pre-conference and onsite registration, including developing and maintaining an attendee database.

• Continuing Education Credit Program: We implement and make available continuing education credits for applicable sessions, including coordinating online distribution of certification when the event is completed.

• Reporting Evaluations: We’ll summarize quantitative and qualitative comments for the client after the event.

 

Editorial Services, Graphic Design, and Printing

On Par Productions employs publishing experts to craft communication messages and collateral materials, including research documents, marketing brochures, scientific articles, conference materials, program book design, event correspondence, signage, and posters. We provide start-to-finish solutions, including content creation, design, and printing.

 

Advertising

To promote the event, we provide the full range of advertising services, starting with creative concepts and ending with media placement. We develop and test concepts, write copy, hire talent, oversee the creative process, place the ads, and monitor placement. We excel in all media, including print, electronic, outdoor, and direct mail—as well as new media like internet and text message promotions.

 

Media Relations

Our public relations experts write and distribute releases, advisories and talking points; pitch stories and interviews; set up editorial staff briefings; develop and manage virtual and in-person press conferences; and provide media training. We can serve as on-air spokespersons or behind-the-scenes facilitators. We employ social media to enhance our media distribution system.
